Window Treatment Project Handoff Checklist

A practical resource hub for designers, architects, builders, and project teams preparing custom drapery, Roman shades, motorized shades, Lutron, and soft goods packages.

Start with the project essentials.

Begin with the project location, treatment scope, design direction and any motorization requirements. Identify what is decided and where you would like workroom input. You do not need a fully resolved specification to start the conversation.

View the project handoff checklist.

01

Location

City, neighborhood, site access, and construction stage.
02

Scope

Rooms, openings, treatment types, and rough quantities.
03

Design details

Fabric, lining, fullness, style, hardware, and privacy goals.
04

Motorization

Battery or hardwired preference, controls, smart-home integration, and Lutron interest.
Project preparation

Prepare a clear project handoff.

You do not need every detail finalized before contacting For Designers Only. Send what is available, identify open decisions, and note where you would like workroom input. Our project team responds within two business days.

Organize the brief by room and opening

Give each opening a reference, such as Living Room W01, and use that same reference on plans, photographs and treatment notes. For each opening, list the treatment type, quantity, dimensions available, fabric or hardware direction and decisions still to be made. Label preliminary dimensions clearly.

Project basics
  • Firm or company name
  • Primary contact and professional role
  • Project name or internal reference
  • Project city and property type
  • Current project stage
  • Target installation or completion window
Drawings and site information
  • Plans, elevations, reflected ceiling plans, or window schedules
  • Available dimensions, identified as preliminary, taken from drawings, or measured on site
  • Site photographs for relevant openings or rooms
  • Mounting, pocket, blocking, power, and access conditions
  • Known building, delivery, or working-hour restrictions
  • Project-team contacts needed for coordination

Identify who will confirm final site measurements and who will approve the treatment details. Preliminary dimensions can support planning; they should not be treated as final fabrication dimensions.

Treatment direction
  • Treatment type by room or opening
  • Designer sketches, specifications, or approved references
  • Heading, fullness, stack, return, and finished-length direction
  • Shade, blind, shutter, cornice, or valance requirements
  • Decorative or functional hardware preferences
  • Privacy, light-control, blackout, or performance goals
Fabric and soft goods
  • Fabric selection, supplier, pattern, color, and width
  • Designer-supplied fabric (COM) or FDO-sourced fabric
  • Available yardage and reserve requirements
  • Pattern repeat, direction, and placement priorities
  • Lining, interlining, blackout, trim, or contrast details
  • Coordinating pillows, bedding, lampshades, or other soft goods

Note any questions about fabric suitability, pattern placement or available yardage. If you are considering pillows or lampshades from remaining project fabric, include the intended pieces and fabric details for review rather than assuming every remnant is suitable.

Motorization and controls
  • Shade or drapery-system type
  • Preferred motorization platform, if selected
  • Battery, low-voltage, or hardwired power direction
  • Lutron Palladiom, Sivoia QS, Triathlon, or drapery requirements
  • RadioRA 3, HomeWorks, or other integration needs
  • Electrical, low-voltage, and control coordination contacts

Before walls and ceilings close, identify shade locations, pocket conditions, the power approach, control intent, and responsibility for wiring and system integration. Explore motorized shades or review our Lutron shading systems guidance for related planning considerations.

Installation, logistics, and quoting
  • Direct or coordinated measurement and installation scope
  • Delivery destination and receiving contact
  • Access, parking, elevator, loading, or security requirements
  • Installation sequencing and specialty-access needs
  • Preliminary opening count and items to quote
  • Known exclusions, alternates, and pending decisions

Flag unfinished mounting surfaces, trim changes and any site conditions that may affect fit or access. Identify which measurement, delivery and installation responsibilities are confirmed and which still need to be agreed.

For Designers Only works behind the designer and protects the designer-client relationship. Project information is reviewed for quoting, fabrication, coordination, and installation planning within the approved trade scope.
